Compliance must not bring goods receipt to a standstill, but it must not be toothless either. The module lets you set the severity of the check yourself, separately for orders and invoices.

• EUDR relevance per item or item category: not relevant, fully relevant, or purchase only. The latter covers cases where you only have to document on the inbound side.
• Four levels of posting check: no check, reference number present, verified reference number, or verified reference number and a released risk assessment.
• If something is missing you get an open EUDR entry, not a silent failure. It stays visible in the cockpit and is ready to be chased with the vendor.
• Transfers can be configured separately, because different rules make sense there than on receipt.
• That lets you start soft: document first, block later. Tighten the check once your vendors deliver.

The real effort in EUDR compliance is not the reporting, it is the matching: which reference number is in the board that ships today? Because the module sits inside Business Central, the answer is attached to the inventory entry and not to a side list somebody has to maintain.

• Reference and verification numbers stay with the goods: from goods receipt through transfer and picking to the sales shipment.
• How they are passed on follows your inventory logic: the item’s costing method, current stock on hand, or a deliberate selection in the document.
• With lot or serial tracking the reference follows item tracking automatically, because origin is unambiguous there anyway.
• Several reference numbers per document line where one delivery draws on several due diligence statements. Each one stays visible and individually traceable.
• Selection with filters on item, variant, location, stock and period: you see which references are actually available instead of guessing.
• Colour coding in the document: unverified, verified, multiple, or your own statement. At a glance rather than on request.
• One EUDR entry per movement gives you an unbroken record from purchase to sale.

As soon as you assemble or produce, a new item appears that draws its origin from several inputs. This is exactly where the chain of evidence breaks in spreadsheet-based solutions. In the module it continues.

• The finished item inherits the reference numbers of its components: selected manually, by costing method or by stock on hand, depending on your setup.
• A check runs as the order is entered, catching cases where an EUDR-relevant input feeds an item that is not flagged as EUDR-relevant.
• A due diligence statement for the finished item can be created straight from the order, built on the references that went into it.
• The processing stage feeds into the risk assessment: the longer and more branched the chain, the higher the system rates the risk of mixing.

Dedicated tiles show the state of your risk assessments: open, due for annual review, expired. They also list every case where the risk was not concluded to be negligible.

Open mitigation measures sit next to them, so nobody misses a deadline the release depends on.

Most open EUDR cases do not sit with you, they sit with your vendors. Instead of writing reminder emails by hand, you chase missing reference numbers the way you chase overdue invoices: with levels, deadlines and a record.

• Reminder terms with as many levels as you need, each with its own date formula: you decide when a level kicks in.
• Separate opening, closing and email texts per level, from a friendly note to a final request.
• Send as a document or straight by email to the contact stored for the vendor.
• Issued reminders with a full history: who was chased when and which cases are still open.
• New vendors get the default terms automatically; existing ones are updated in a single run.

A due diligence statement asks for details nobody knows by heart in day-to-day work: commodity code, scientific and common name of the species, country of production, quantity in the required unit. You maintain these once on the item. After that the module fills them into every statement.

• Commodity code and goods description from your existing master data.
• Scientific and common name per item, in several languages where needed. The regulation asks for both.
• Net mass, volume and supplementary unit are taken from the posting rather than recalculated.

In the EUDR due diligence statement, you record all relevant data — from item number and geocoordinates to customs tariff number.

Through the API connection to the EU information system, the statement is transmitted directly and confirmed with an official reference number.

The verification status is traceable at any time — including full history and audit trail.

Anyone placing goods on the EU market for the first time has to report the plots of land they came from, down to the square metre. The duveka EUDR module takes in those plots, shows them on a map and screens them against deforestation alerts before the statement leaves the building.

• Points and polygons per plot, with the area in hectares and a description of the location, in exactly the form the statement requires.
• GeoJSON files from your producers are imported instead of typed in coordinate by coordinate.
• A map view inside the document: review, correct and extend the plots without opening GIS software.
• Deforestation screening at the press of a button: the module queries deforestation alerts for your production geometry. If an alert falls inside the plot after the 31 December 2020 cut-off date, you see it before submission, not during an inspection.
• The screening result feeds straight into the risk assessment and is carried there as evidence.

Due diligence does not end with geolocation data. Before anything is placed on the market you have to assess the risk that your goods are linked to deforestation or legal violations. You also have to be able to justify that assessment to the authorities. The duveka EUDR module walks you through exactly that assessment, in the same system your documents live in.

• Every assessment criterion of the regulation as a checklist: from country benchmarking through the presence and consultation of indigenous peoples to the risk of mixing with material of unknown origin. Each criterion with its risk level, its evidence and the reasoning behind it.
• Automatic pre-assessment from data you already hold: country risk, verification status of reference numbers, supply chain depth, item tracking and deforestation alerts for the plot of land are filled in by the system. They stay editable at all times.
• Assess at the level that matches how you buy: per vendor, per vendor and item, per country of production, or per individual due diligence statement.
• Simplified due diligence for goods from low-risk countries: the system automatically reduces the checklist to the criteria that remain mandatory even then.
• Mitigation measures with an owner, a deadline and an outcome: request further evidence, commission an independent survey or audit, sample and test, build supplier capacity, or suspend sourcing. While a measure is still open, the assessment cannot be released.
• Traceable release: who assessed and who released is recorded with a timestamp. Only a released assessment concluding negligible risk clears posting and submission.
• Annual review without a reminder note: every assessment carries a validity date, expires on its own and points back to the one it replaces. The chain documents the review without gaps.
• A printable assessment report as evidence for authorities, customers or certification bodies.

Every risk assessment starts with where the goods come from. The module ships with the country information required for that and keeps it up to date instead of letting a spreadsheet go stale.

• The EU country benchmarking is built in and updated automatically when it changes: low, standard or high risk per country, with the version it is based on.
• Screening against the EU Sanctions Map: countries under relevant sanctions or conflict regimes are flagged. The list of regimes can be reloaded at any time.
• Additional attributes with no EU list behind them, such as corruption risk or the presence of indigenous peoples, are maintained once per country and then used in every assessment.
• Each assessment records the classification that applied when it was carried out. Later changes to the country list do not invalidate your evidence.
• A low-risk country unlocks simplified due diligence without anyone having to remember it.

The regulation requires you to be able to evidence your due diligence for five years. The module logs every step for that, instead of pointing you at screenshots and mailboxes.

• A complete log of every exchange with the EU information system: request, response, timestamp and the user who triggered it.
• Error messages in plain language rather than technical return codes, with what to do about them.
• Separate test and live modes, so a test company can never produce a real submission. Connectivity is checked at the press of a button.
